PowerPoint is the go-to application for businesses looking to make professional presentations. Love them or hate them, slide presentations are still the most popular way of sharing data in a simple, attractive way. With newer versions of the application you can insert multiple media types into slides to enable sharing. Today I’m going to cover how to insert a PDF file into a PowerPoint presentation.

PDF files are ubiquitous as the file format is self-contained and has almost universal acceptance. As long as your application or browser plays nicely with them, using PDFs in presentations is just a matter of inserting it into a slide either as an image or an object. You can also add it as a slide show action.

Insert a PDF file as an image into a PowerPoint presentation

The most popular way to use PDF media within a presentation is by using it as an image. This allows you to present the data on a page without having to include the PDF file as a while on that slide. You can always include it at the end as a download or reference link so it doesn’t get in the way.

  1. Open the PDF file on the page you want to feature in your presentation. Do not resize or modify it.
  2. Open your PowerPoint presentation on the page you want to insert the PDF within.
  3. Select Insert and Screenshot. The PDF file should be the first option within the insert dialog window.
  4. Click the image and it will be inserted into the slide. Move, resize or modify as needed.

Inserting a PDF as an image is a quick way to present flat data in a non-interactive fashion. It is ideal for presenting data contained within other documents that don’t need to be shared or otherwise manipulated.

If you want to do more with a PDF in PowerPoint, you will need to insert it as an object.

Insert a PDF file as an object into a PowerPoint presentation

To insert a PDF file as an object into a PowerPoint presentation, you make it available to those you’re sharing the presentation with. It uses a similar set of steps to inserting as an image, but does something different as a result. Where this method differs is that you should not have the PDF file open when you do it.

  1. Open your PowerPoint presentation on the page you want to insert the PDF within.
  2. Select Insert and Object.
  3. Select Create from file and navigate to the PDF file.
  4. Select OK.

This will embed the PDF file into the slide you have selected. The file is compressed and therefore the quality of the file itself is reduced but will now open for anyone who selects the link.

If neither of those two methods work for your needs, you can also add a PDF file into a PowerPoint presentation as an action.

  1. Open your PowerPoint presentation on the page you want to insert the PDF within.
  2. Select Insert and Action within the Links section.
  3. Select Hyperlink to: in the popup window and Other file in the selection.
  4. Link to the PDF file there and select the PDF file, then OK.
  5. Select Object action in the Action Settings window and select Open.
  6. Select OK to insert into the slide.

This method will insert a link to the PDF file that is triggered by clicking the mouse over the image. You can elect to choose to open the PDF file with mouse over if you prefer but it means it will happen every time you move your mouse across that link. Not ideal if you’re presenting to a business audience!

Save a PowerPoint as a PDF file

While we’re on the subject of PowerPoint and PDF files, did you know you can save a PowerPoint as a PDF? Neither did I until I saw it while creating screenshots for this tutorial. Here’s how.

  1. In PowerPoint, select the File tab.
  2. Select Export and Create PDF/XPS Document.
  3. Give the file a name.
  4. Select Standard or Minimum size depending on what you’re going to use it for.
  5. Select Options to change the formatting if needed.
  6. Select Publish to save the file as a PDF.

Your PowerPoint should now be a PDF file and will retain much of its original form just in a different format. Ideal for emailing or sharing online. Useful huh?

Adding a PDF to your PowerPoint slideshow can help create a richer presentation experience. You can use a few different methods to insert PDFs into PowerPoint slides.

Learning how to insert a PDF into PowerPoint in various ways enables you to choose the method that best suits your needs in PowerPoint 2016, PowerPoint 2013, PowerPoint 2010, PowerPoint 2007, and PowerPoint 2003. There are a couple of options for PowerPoint for Mac, as well. You cannot insert or edit PDF files in PowerPoint 365/Online, although they will display in this format if inserted using a different version.

Before you begin, make sure the PDF file is not open on your computer.

How To Import Word File Into Powerpoint

    1. Open the PowerPoint slide where you want to insert the PDF.
    1. Go to the Insert tab or menu and select Object.
    1. Select Create from File and click the Browse button.
    1. Navigate to the PDF file you want, click on it to select it and click OK.
    1. Click OK on the Insert Object dialog box.

The first page of the PDF is displayed on the slide and the PDF file becomes part of the presentation file. You can open it by double-clicking the image of the first page while in Normal view.

If you want to be able to open the PDF file during a presentation, attach an action to the image.

  1. Open the slide with the PDF object inserted in Normal view.

  2. Click on the image or icon for the PDF file to select it.

  3. Go to the Insert tab or menu and select Action.

  4. Select the Mouse Click tab if you want to open the PDF with a click. Select the Mouse Over tab if you want it to open when you point to the PDF.

  5. Select Object Action and click on Open.

Insert a PDF into PowerPoint as a Picture

If you only want to view the content of one page of a PDF file, you can add it to a PowerPoint slide as an image. This feature is only available in PowerPoint 2013 and 2016.

  1. Open the PDF file.

  2. Open PowerPoint and go to the slide where you want to insert the PDF as a picture.

  3. Go to the Insert tab and select Screenshot. All of your available windows are presented, including the PDF file you have open.

  4. Click on the PDF file under Available Windows to add it to the slide as an image.

Insert Text and Graphics from a PDF to PowerPoint

Another way to add a specific section of a PDF to PowerPoint is using Adobe Acrobat Reader. These steps apply to PowerPoint 2010, 2007 and 2003 using Adobe Reader version 7.

To insert text from a PDF file:

  1. Open the PDF file in Adobe Reader.

  2. Go to the Tools menu, point to Basic and click Select.

  3. Select the text you want to copy.

  4. Go to the Edit menu and click Copy.

  5. Open PowerPoint and click on the slide where you want to insert the PDF text.

  6. Click Paste on the Home menu or press Ctrl-V.

How To Import From Word To Powerpoint

To insert a graphic from a PDF file:

  1. Open the PDF file in Adobe Reader.

  2. Right-click on the PDF and click on Select Tool.

  3. Click on the image and either Ctrl + C or right-click and select Copy Image.

    • Alternatively, hold down the mouse button and drag a rectangle around the graphic you want to insert into PowerPoint.
  4. Open PowerPoint and click on the slide where you want to insert the PDF graphic.

  5. Click Paste on the Home menu or press Ctrl + V.

Import PDF into PowerPoint for Mac

If you attempt to insert a PDF into PowerPoint as an object in PowerPoint for Mac, you may receive an error message stating that the file type is not supported or the file is not available. This is because object linking and embedding is not fully implemented in Mac Office applications.

You can insert text and graphics from a PDF in PowerPoint for Mac using the same steps provided above.

Another option is to link to a PDF file.

  1. Make sure the PFD you want to use is saved to the same location as your presentation.
  2. Go to the slide where you want to add a link to the PDF.
  3. Select the text, image or shape to which you want to link the PDF file.
  4. Click Insert, select Hyperlink and choose Web Page or File.
  5. Click Browse, navigate to the location of the PDF to select it and click OK.

You can open the hyperlink during the presentation to display the PDF file.

As mentioned, you cannot insert or edit PDF files in PowerPoint Online. However, they are displayed as expected when created in another version of PowerPoint.
